Registration is open

Registration will open in February 2018. In order to ensure that the conference meets its educational objectives, and to ensure that the conference can be attended by as wide a cross section of those interested in flow batteries as possible, all those attending the conference are required to register and pay the delegate fee. This policy applies to those submitting a paper or poster for presentation and acceptance of this policy is a condition of submission of a proposal.


We have held registration fees for 2018 to be at a similar level to the fees for the conference in 2017. A discount for early registration applies, and there are discounts for students and staff from recognised academic institutions.


In order to register at the academic or student rate, an email address from a recognised academic institution must be used. The student rate applies only to those in full time undergraduate or full time second degree studies on 1 June 2018. We reserve the right to ask for verified evidence. Part time students or industrial placement students are not eligible for the student rate.
Registration fees include Swiss VAT at the prevailing rate.

Accommodation

WE RECOMMEND BOOKNG YOUR ACCOMMODATION IN LAUSANNE EARLY.

We have organised a block of rooms at the SwissTech Hotel, Lausanne, Switzerland, a two minute walk from the SwissTech Hotel. There is an alternative hotel called the Starling which is a 15 minute walk to the SwissTech Convention Centre, further details can be found on our links page.

In order to book your accommodation, you will need to visit the Swisstech Hotel's website: www.swisstech-hotel.com or email the SwissTech Hotel reservations team directly: sth@epfl.ch quoting "IFBF 2018" for the special rate of CHF 125.00 plus VAT.  To contact the Swisstech Hotel by telephone:  00 41 21 694 06 10.  The city tax (CHF 3.10 per person and per day) and the breakfast (CHF 13.- per person and per day) are not included in this price.

Additional notes:

The registration fee includes admission to the IFBF 2018, refreshments, lunch, attendance at the conference evening reception on Tuesday 10th July or Wednesday 11 July and conference literature.

Geneva Airport is the closest airport to Lausanne

If you are flying into Geneva Airport take the signs for the Geneva Airport Train Station (5 minute walk). Take the train to Lausanne main station (approximately 40 minutes). On arrival go to platform 8 and take the metro to EPFL station. The SwissTech Hotel is immediately in front of you.

Registration, refund and cancellation policy

We prefer all registrations to be made through our website using the secure web link, to reduce our adminsitration costs. When you register for the IFBF you agree to pay for one or more delegates who will attend. A delegate place is transferrable between members of the same company or institution. However, a delegate who is offered a discount (academic or otherwise) may only transfer the delegate place to someone who is also eligible for the discount.

If you wish to cancel your place and seek a refund please note that there is a minimum 25% cancellation fee to cover our administrative costs. For cancellations less than 21 days before the conference the cancellation fee is 50%. After 10 working days before the meeting no cancellations will be accepted. All requests for cancellations must be submitted in writing. It may take up to 7 working days for a refund to be to be processed. In the unlikely event that we have to postpone or cancel the Forum, we will either refund fees or carry through the registration to another event, at our discretion. Your contract with us will be an English contract under English Law.

Privacy Policy

We take the protection of your personal data seriously, and the new GDPR regulations require us to manage it formally. So before we process your registration, we need to tell you how we are going to use and protect it.

Data protection enquiries may be addressed to the Managing Director at the above address or to dataprotection@swanbarton.com. For the purposes of International Flow Battery Forum events and related information services, Swanbarton may store and use your email address, telephone number(s) and/or other electronic addresses, payment data, images, video and audio recordings of you, images of your business card and electronic or paper correspondence between you and Swanbarton. This processing is based on Swanbarton’s legitimate interest in forming or executing contracts to provide the International Flow Battery Forum events and related information services.  Swanbarton may share your data with data processors acting on its behalf. These include providers of cloud storage, the IFBF web site, electronic ticketing, payment processing systems and email management. We will ensure that they do not divulge your data to third parties. We will publish your name and company details in our list of delegates. We will not use your data for automated decision-making and we will not share your data with any other businesses without your permission. When you register for the conference using our web link, your financial details are used only for that transaction and are not retained. Should you wish to register by other means such as direct bank transfer or cheque payment, your financial details will be held only for as long as is necessary to ensure that the transaction is complete. We may retain all other data for up to seven years after our last communication, because we want to be able to stay in touch with you for a reasonable length of time.

Photographs, audio, and video will be captured during the IFBF Conference. Attendees, by registering for the conference, grant IFBF and its representatives' permission to be photographed and/or recorded by audio and/or video at the conference. Attendees and their guests give IFBF permission to copyright, publish, and distribute these photographs, audio recording and/or video recordings and use them in any and all media, including print and electronic for any lawful purpose. Attendees hereby release and discharge IFBF of any and all claims and demands rising out of or in connection with the use of IFBF photographing, audio and/or video, including but not limited to any claims for defamation and invasion of privacy.

You have the rights to get a copy of the data that Swanbarton holds about you, to have it corrected, to have it deleted, to take a portable electronic copy, to object to Swanbarton’s processing of it and to lodge complaints to the UK Information Commissioner’s Office, which is Swanbarton’s supervisory authority. You are not obliged to provide any personal data to Swanbarton. This is Swanbarton’s Privacy Notice SBPN2018.1.

(i) A half day Introductory Seminar on Flow Batteries will be held on Monday 9th July at
09:00a.m. (Registration from 08:30 with refreshments on arrival). The Introductory Seminar
costs an additional CHF 371.00 plus VAT. (CHF 400.00 including VAT). Please check
the box if you wish to attend the Introductory Seminar.

(ii) The ticket for the conference dinner on Tuesday 10th July is included in the
registration price.

5. DELEGATE 1 : INDUSTRY VISIT

On Friday 13th July we will visit EPFL's flow battery at Martigny.  We will leave the hotel
at 09:00 a.m. To ensure that delegates are committed to participating in the visit we will
charge an administrative fee of CHF 116.00 (CHF 125.00 inc VAT). Please note numbers
are limited.
